JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 in the Department of Physical Therapy (DPT) provides strong administrative support to the Departmental Chair, Program Coordinator, Director of Clinical Services- University Therapist, Director of Clinical Education, faculty, and students. The position facilitates a prompt, efficient and accurate flow of work to meet deadlines
Responsibilities
- Provides administrative support to the DPT program.
- Schedules meetings and conferences; manages advising calendar and schedules advising appointments for prospective students.
- Enters data and manages database for recruitment purposes.
- Assists with establishing and maintaining student databases.
- Coordinates and requests classroom and computer labs.
- Assists with invoicing and collection of monies for PT department and University Therapists.
- Prepares cash/check deposit forms.
- Assists with planning, organizing, and scheduling orientations, open houses, graduation, and job fairs.
- Enters invoices and pays department invoices.
- Assists with department reconciliations.
- Establishes and maintains and accurate filing system for student information and course curriculum for each semester and cohort.
- Responds to general correspondence regarding general inquiries for the DPT program and UT Therapists.
- Enters bi-weekly time.
- Performs other duties as required.
Qualifications
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (Bachelor's Degree preferred.) (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of administrative or clerical experience. (Certified Administrative Professional (CAP) preferred.)
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong organizational skills with the ability to establish priorities to meet deadlines, good proofreading and grammar skills.
- Ability to establish and maintain cooperative working relationships and a positive and respectful attitude with peers, students, supervisors, administrators, customers, and visitors.
- Ability to work independently with little to no supervision.
- Proficient computer skills (including Microsoft Word, PowerPoint, Excel, Publisher, and Outlook) and database management software programs.
- Excellent oral and written communication skills and ability to multi-task.
- Experience in developing and organizing calendars and procedures; typing correspondence requiring the application of university/departmental policies and procedures.
- Skill in organization, details, and flexibility of tasks and time allocation.
- Ability to maintain sensitive, confidential, and personal issues and ethical quandaries.
WORK SCHEDULE: This position may occasionally be required to work weekends and evenings. May require occasional overnight travel.
